    Terms of Use and Conditions for Registration and Participation at Optimeet Messen Copenhagen 2026, organized by Optimeet, Jernbanevej 4A, 1st floor, 2800 Kgs. Lyngby, cvr. no.: 32648207. (hereinafter referred to as “the organizer”, “we” “our” or “us”). Through the digital event platform Goodiepack ApS, Kjellerupsgade 24, 9000 Aalborg, CVR number 37197572.

    Jurisdiction

    This agreement is governed by and must be interpreted in accordance with Danish law. Any dispute that may arise in connection with this agreement and that cannot be resolved in general terms must be brought before the Copenhagen District Court.

    1.0. General

    1.1. Optimeet Messen Copenhagen is a closed trade fair, reserved for meeting and event planners and everyone who books, arranges and organizes meetings, events, courses, conferences, etc. You must therefore register for Optimeet Messen Copenhagen under the correct participant category.

    1.2. We want to make Optimeet Messen Copenhagen a good and positive experience for all guests and exhibitors, both before, during and after the fair. Therefore, we have listed a number of conditions/guidelines for participation below. The conditions also give you the opportunity to see how we use the data you provide in connection with your registration. At the same time, we comply with existing and future legislation on data processing.

    1.3. Agreement on participation is concluded between you and the Organizer. The event platform Goodiepack ApS exclusively offers a digital event platform for use in this event. Goodiepack assumes no responsibility for the content of the event, any shortcomings or the like in connection with the holding or failure to hold it, as reference is made to the Organizer.

    1.4. These terms and conditions apply to Optimeet Messen Copenhagen 2026 and must be read and accepted when you register.

    2.0. Confirmation

    2.1. Registration for Optimeet Messen Copenhagen 2026 is free of charge and valid when you have received a confirmation. Your registration is binding, and we will arrange lectures and activities in anticipation of your attendance.

    2.2. We review all registrations and reserve the right to reject persons who, upon request, cannot demonstrate that they, as part of their work, book, arrange and/or plan meetings, events, courses, conferences, are students or suppliers relevant to the fair, or the like.

    2.3. When registration is complete and we have approved your registration, you will receive an email and possibly a SMS, confirmation that you have registered for Optimeet Messen Copenhagen 2026.
    In your confirmation you will find your personal ticket with QR code, which you are asked to bring and show upon arrival at the fair, as this is the entry code. This must not be copied or otherwise attempted to be used multiple times with the aim of providing more people with access to the same fair.

    3.0. Cancellation

    3.1. Should you, contrary to expectations, be prevented from attending, please cancel your registration no later than March 11 at 8:00 a.m. Cancellation can be made via message to the organizer or via link in your confirmation.

    4.0. Marketing/Sales/Jobs

    4.1. During the fair, exhibitors do NOT wish to be contacted by suppliers or job seekers, which is why it is not permitted to apply for a job with the exhibitors or to market/sell products/services to the exhibitors. Violation of this prohibition will result in immediate expulsion.

    5.0. Relocation or Cancellation made by the organizer

    5.1. As the organizer, we reserve the right to change and cancel "Optimeet Messen Copenhagen" if there is either not enough registrations or if other circumstances apply, see section 5.2. In this case, you will be notified directly to your provided email address.

    5.2. Unfortunately, situations may occur that make it necessary for the organizer to cancel the event, e.g. in the event of illness, weather conditions, or similar circumstances that the organizer could not have foreseen in advance and that make the implementation of the event disproportionately difficult.
    The organizer also reserves the right to change the date, time, venue of the event, and to make minor changes to the content of the event.
    If changes occur, the organizer will inform you of these changes as much as possible and in good time as possible.
    The organizer cannot be held liable for any loss, either indirect or direct, in connection with cancellations and changes.

    6.0. Personal data policy

    6.1. General
    By accepting these terms and conditions, you agree that we process your personal data in accordance with the description in the terms and conditions.
    The organizer is the Data Controller and handles your personal data in accordance with applicable legislation in the area. Supplier of the event system Goodiepack Aps and supplier of name badges and arrival scanning Ticketbutler ApS, are Data Processors.
    This means that responsibility for processing your personal data lies with the Organizer, and for any inquiries, you must contact the Data Controller with contact information as specified in section 8.1.

    6.2. Purpose and use of the Goodiepack event platform
    The organizer uses

    uses the event system Goodiepack to administer and handle registrations for the fair, as well as send and provide information via emails, SMS and push notifications to participants in connection with Optimeet Messen Copenhagen 2026. When registering and otherwise using Goodiepack, your entered information will be transferred and stored in Goodiepack's event platform. The organizer of Optimeet Messen Copenhagen has access and usage rights to all data provided in connection with registration.

    6.2.1. Your personal Fair Site via Goodiepack
    As a participant, you will have access to your own personal Fair Site, where you can stay updated with the program, practical information, possibly ask questions to speakers, receive push notifications and integrate with your smartphone calendar.
    In your personal Fair Site, you have the option of using a meeting booking function, where you can book meetings with the exhibitors.
    You can also chat with the exhibitors and other participants. By using the meeting booking and chat function, you agree that your contact information is shared with the exhibitors and participants you interact with.

    6.2.2. Cookies
    The Goodiepack registration form and the other functions provided by the organizer in the Goodiepack Eventsystem use cookies, which are text files to recognize the users' computer and login, in order to be able to handle the necessary services in connection with the purpose

    6.3. Registration
    You register for Optimeet Messen Copenhagen 2026 via the Goodiepack registration system prior to the event or upon arrival.
    The organizer collects the personal information that you have entered in the registration form, which is necessary to be able to provide you with the service associated with handling your registration and participation, as well as basic information and for statistical use. This is typically common personal information such as name, title, company/organization, email, etc.

    7.0 What information do we process about you

    In some cases, we may ask for special information, such as dietary requirements.

    7.1.1. Arrival registration
    You will be registered on arrival by scanning your unique QR code through Ticketbutler's arrival scanning.

    7.1.2. Name badge and scanning of your personal QR code
    Your name badge is generated with relevant participant information and a QR code via our partner Ticketbutler.
    Upon arrival at Optimeet Messen Copenhagen, you will be given your name badge, which will be marked with the category under which you have registered. The name badge must be worn visibly throughout your visit.
    Your personal QR code gives access to your entered contact data, which must be scanned in connection with access to the fair and the activities taking place.
    Do you have your name badge scanned by, for example, an exhibitor or other participant, you consent to them having access to your entered contact data, which can be used in connection with follow-up after the fair - in the same way as if you had handed over your business card. The organizer cannot be held responsible for the communication that may come from exhibitors or other participants as a result. Any complaints in this regard must therefore be addressed directly to the exhibitor/participant in question.

    7.1.3. Digital wardrobe
    At the fair you can use the wardrobe, which is administered via the digital wardrobe system Keypitt ApS. The system is used by registering on the Keypitt platform via a link or entering a telephone number, prior to the fair or at the fair.
    By registering via the Keypitt platform, you have actively had to accept their terms and conditions. By creating your Keypass in the Keypitt platform, you agree to share your entered data with Keypitt, who is then responsible for the data you have provided when registering.

    7.2. Photography and video recordings
    Optimeet Messen Copenhagen is a major event that many people - including the organizer - want to document in the form of photos and videos. There will therefore be photographers and film crews present at the fair. It is up to the visitor to tell these photographers and film crews if they do not wish to be photographed/filmed. In connection with the publication of photos and videos from the fair, Optimeet Messen Copenhagen follows the rules found in relevant legislation, including the rules on situational images. Optimeet Messen Copenhagen cannot be held responsible for the publication of photos and videos from the fair by other media, stakeholders and exhibitors.

    8.0. Consent

    By registering for Optimeet Messen Copenhagen, you allow Optimeet Messen Copenhagen, Optimeet, Goodiepack Aps CVR number 37197572 and Ticketbutler ApS CVR number 38404687 to send you e-mails (e.g. e-mails, SMS, MMS, notifications, push messages and widgets) and to contact you by telephone or by post about relevant product types, campaigns, competitions and marketing – also via apps, social media, the internet and other digital channels. The legal basis for the processing is the Danish Marketing Act, section 4, subsection 1.
    The purpose of the above-mentioned collection of personal data is partly that we can offer access to

    the fair and partly to optimize the user experience and conduct targeted marketing. The legal basis for the processing is Article 6(1)(a) of the EU General Data Protection Regulation.
    By registering for Optimeet Messen Copenhagen, you also allow information to be transferred to external partners who process information on behalf of Optimeet Messen Copenhagen, associated companies and Optimeet. We use external partners for, among other things, technical operation and systems. These companies are data processors and, under our instructions, process data for which we are data controllers. The data processors may not use the information for any purpose other than fulfilling the agreement with us. We have entered into written data processing agreements with all data processors who process personal data on our behalf.
    Note: You have the right to withdraw your consent, and if you wish to do so, you must contact the Organizer, see section 8.1.

    8.1. Rights of the data subjects

    Under the General Data Protection Regulation, you have a number of rights in relation to our processing of information about you.
    If you want to exercise your rights, you must contact us by sending a request.

    Right to see information (right of access)
    You have the right to gain access to the information that we process about you, as well as a number of additional information.

    Right to rectification (correction)
    You have the right to have incorrect information about yourself corrected.

    Right to erasure
    In special cases, you have the right to have information about you deleted before the time of our general general deletion occurs.

    Right to restriction of processing
    In certain cases, you have the right to have the processing of your personal data restricted. If you have the right to have the processing restricted, we may in the future only process the information - with the exception of storage - with your consent, or for the purpose of establishing, exercising or defending legal claims or to protect a person or important public interests.

    Right to object
    In certain cases, you have the right to object to our or lawful processing of your personal data.
    You can also object to the processing of your data for direct marketing.

    Right to transmit information (data portability)
    In certain cases, you have the right to receive your personal data in a structured, commonly used and machine-readable format and to have this personal data transferred from one data controller to another without hindrance.
    You can read more about your rights in the Danish Data Protection Agency's guidance on the rights of data subjects, which you can find at www.datatilsynet.dk.

    The request must be made in writing (with signature) and contain your name, address, telephone number and email address. You can also contact Optimeet if you believe that your personal data is being processed in violation of the law or other legal obligations.

    Optimeet may reject requests that are either unreasonably repetitive, require disproportionate technical intervention (for example, developing a new system or significantly changing an existing practice), affect the protection of the personal information of others, or in situations where the requested action must be considered to be extremely complicated (for example, requests for information that exists only as backup copies).

    Finally, you have the right to object to our processing of your personal information at any time, and the right to lodge a complaint with the Danish Data Protection Agency if you are dissatisfied with our handling of a complaint.
